Job Summary
The office assistant plays a crucial role in supporting the smooth functioning of an office environment. This position involves providing administrative and clerical support to ensure efficient day-to-day operations. Job Responsibilities:
- Answer and direct incoming calls, taking accurate messages and delivering them promptly to the appropriate person.
- Greet and assist visitors, ensuring a positive and professional experience.
- Maintain an organized filing system for both physical and electronic documents, ensuring easy retrieval of information.
- Assist in scheduling and coordinating meetings, appointments, and travel arrangements for staff members.
- Prepare and distribute memos, emails, correspondence, and other documents as needed.
- Manage office supplies and equipment, ensuring stock levels are maintained and placing orders when necessary.
- Coordinate and arrange logistics for office events, conferences, and meetings, including room reservations, catering, and audiovisual setup.
- Perform basic bookkeeping tasks, such as tracking expenses, processing invoices, and maintaining financial records.
- Assist with basic HR tasks, such as maintaining employee records, processing timesheets, and organizing new hire onboarding.
- Conduct basic research and compile data as requested by the management team.
- Collaborate with colleagues to ensure effective communication and teamwork within the office.
- Maintain a clean and organized office environment, including tidying up common areas and workspaces.

Requirements:
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven experience as an office assistant, administrative assistant, or similar role.
- Proficient in using computer software and office equipment, including MS Office Suite (Word, Excel, PowerPoint, Outlook) and office machinery (e.g., printers, scanners).
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong attention to detail and accuracy in completing tasks.
- Outstanding verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong interpersonal skills and the ability to work well with diverse individuals.
